Using the AI Assistant
This section covers FlowPilot's AI assistant features, including Brain Dump and Brief Me. These tools are designed to turn scattered notes and project context into clear next steps, helping teams move from discussion into execution faster.
1. Brain Dump
Brain Dump helps turn messy meeting notes into actionable tasks. Instead of manually extracting to-dos from raw discussion, you can paste your notes into the FlowPilot AI assistant and let it identify the work that needs to happen.
This is especially useful when planning a new initiative, working through a brainstorm, or translating project conversations into trackable tasks.
Marketing and website build
In this example, a team pastes rough notes from a planning session into FlowPilot. The AI assistant reads the details and turns them into a clear set of tasks for the project board, including:
- define the site structure and messaging
- confirm the target audience and positioning
- outline the homepage and page flow
- identify required assets and design references
- assign launch and review tasks
The result is a simple, structured list of actions that the team can immediately start moving on.
Location scouting
Brain Dump also works well for operational planning. In our example, a team is evaluating a new location or storefront, so they can paste notes from interviews, site tours, and landlord conversations, and FlowPilot can turn that information into tasks like:
- contact landlords and property managers
- schedule site visits and walkthroughs
- compare locations against project needs
- document final selection criteria and next steps
Once the tasks are generated, they can be tracked inside the project board and assigned to the right workstream.
2. Brief Me
Brief Me is designed for moments when a project or portfolio starts to feel crowded and hard to track. Instead of reading through long notes or searching across several project threads, you can ask the AI assistant for a quick status update.
This feature summarizes what is happening across active workstreams so you can quickly understand where things stand and what needs attention next.
A Brief Me update can cover:
- what phase each project is currently in
- which workstreams are active
- what tasks are moving forward
- which items may need attention or follow-up
This makes it easier to get up to speed, spot blockers early, and prepare for the next decision point without digging through the entire project history.
When to use Brief Me
Use Brief Me when you want a fast pulse check on your workload, especially if you are managing more than one project at a time. It is especially helpful when:
- you are returning after a break and need a quick recap
- you want a strategic summary before a meeting
- you need to see which initiatives are moving and which are stalled
